The meeting was recorded 🙂

From their Excellencies:

It’s been a quiet month for their Excellencies.  We had a great time at Holiday Faire. There was also some good discussion at UnEvent.  We have a new updated ESP.  It is a slick new streamlined system! This is a great tool to recommend  awards.  Paid members should take a moment to check in with the new system and make sure all their information is up to date.

Updates from the Seneschal:

The Seneschal’s meeting at UnEvent was also a great discussion.  Some updates include making sure that Youth Activities take place front and center!

We are still looking for a Social Media Officer.  A quick reminder that absolutely no AI generated content should be posted in any of our official media accounts.

Updated general insurance forms will be available soon for our Autocrats.  Please make sure to file your quarterly reports on time! For future pollings – we will need to make sure to stick to the established timelines.

A note on Elchenberg castle:  The Board of Directors will not allow offical events to take place at this site.

Our Kingdom Seneschal will be stepping down in May.  An announcement will go out requesting Letters of Intent for this position in January.  If you are interested in serving in this capacity – reach out to our current Kingdom Seneschal Master Cian. (seneschal@officer.atlantia.sca.org)

Officer Reports:

QuarterMaster:

Exchequer:

Checks were cut for Holiday Faire.  We need to update our signatory card with the banks.  Congratulations to Gaius for stepping up to be the Deputy Exchequer!

We are waiting for the SCORES check for Baronial Birthday.  We are waiting for the PayPal check for Holiday Faire.

Updates from UnEvent:  Society is mandating that all of our deposits from events should be deposited within 48 hours of the end of the event or receiving the check in the mail. Please make sure that Mistress Ceridwen is listed as reservationist for Baronial Events moving forward.

Knights Marshall:

Sir Bumi reports that we are having great turnout at our official practices including a slew of Mary Washington Students.  We have three new fighters with full new kits of their own.  Sir Bumi also plans on offering workshop time to allow fighters to continue to customize their equipment.

Minister of the list:

Updates from UnEvent – The button on our on-line system for fighters to renew their warrants is going away on December 23rd.  Beyond that date, any fighter who wishes to renew will have to re-authorize in person.

There were also some changes to some of the forms that are required, but they are small changes.

MOAS:

Updates from UnEvent – There was a great discussion about encouraging A&S competition and modifications to the Populace Vote.  There was also a great discussion on including MakerSpaces into our events where artisans would have a chance to work on their crafts and answer questions.  Lady Rita also talked about including our surrounding baronies in our activities.

Herald:  Lady Katherine is digging back into some Heraldry submissions.

From UnEvent – We are working on revamping our Heraldry website.

Chronicler: The blog continues.  Newsletters are being sent to Kingdom as they are published 🙂  Send Genefe content for the blog please. (chronicler@stierbach.atlantia.sca.org)

Updates from UnEvent include an updated list of who should be recieving our newsletter and a recommendation that we include mundane contact information to make contact easier for newcommers.

If you are looking for a way to get involved – Genefe would love a deputy.

Chatelaine:  Absent. No report.

WebMinister:

Updates from UnEvent – The restrictions regarding AI are based on generative AI.  No official website or social media account should contain any generative AI content.  In addition, every one with access to edit our website should be warranted by the Kingdom Web Minister.  Genefe will need to go through the warranting process.

QuarterMaster:  Magnus did not receive a list of items that were taken for Holiday Faire so cannot vouch for what was taken or what was returned. This is a great reminder for all of our Event Stewards and Autocrats to make a list of what is borrowed and what it is returned and directly communicate this information to Magnus.  This communication is important for keeping track of the Barony’s property.

Old Business:

Holiday Faire Wrap-up:

Holiday Faire went well!  Mistress Ceridwen presented a rough draft of the financial report.  It is not finalized yet but it seems as though this event was not as profitable as previous years. Once the report is finalized, it will be released.

New Business:

Winter Melee practice updates:

The $500 deposit was made at the Fredericksburg Fairgrounds for a Northern Regional Melee Practice on Sunday February 2nd from about 10 AM to 3 PM.

Genefe put forth a proposal to vote on Sir Bumi’s request for loaner armor and equipment in the amount of $1200.00.  The proposal was seconded by Norbert.  A vote was taken and the motion passed unopposed.

Coronation Updates:

We were able to get an agreement from the Fredericksburg Fairgrounds to host Coronation.  We made a $500 deposit but have not received a contract yet; however, the Kingdom Bid Committee has requested a bid and a budget.  Lady Jenefer would like to get that information to Kingdom as soon as possible,

Lady Katherine noted that the Barony is consistently requesting additional pop-ups for local events.  Our Barony currently has one 10×10 pop-up. Would the Barony be interested in purchasing two additional pop-ups for $106.00?  A lively discussion followed. A motion was put forward to vote for the purchase of these two pop-ups.  The motion passed with a vote of 8 to 1.

Populace Comments:

From Arielle in regards to equine insurance – the cost of equine insurance is going up for events to $600.00  The Equestrian community is working diligently to figure out how to make our funds go the furthest.  For more details, please contact Arielle.

Lady Rita brought up the cost of the A&S at the church.  The financial committee voted to pay $150 to reserve Bethel Lutheran Church for January through June.

Closing Remarks from their Excellencies

Their Excellencies will be there on Thursday for the Roman Potluck.  A Big THANK YOU to Lady Katherine for Autocrat-ing Holiday Faire!  We also plan on attending Twelfth Night. Please let us know if you will be there too and we will plan to meet up!  Have a wonderful holiday to everyone 🙂

PLEASE SUBMIT REWARD RECOMMENDATIONS! We accept emails, messages, and award recommendations through the esp.  The esp is really the best way to get us info but we will take what we can get!  Send us stuff and tell us all the great things that are going on!  Thank you to those who are sending us messages 🙂

Meeting adjourned at 8:34 pm
